Never miss a deadline

Apply 4 min read

A missed deadline means a year's wait, or a grant gone for good. The Calendar section in the Apply tab keeps every deadline in front of you and syncs to the calendar you already use. Here is how to set it up.

Quick summary Open the Calendar section in the Apply tab to see deadlines for the grants you track. Copy its ICS feed link and subscribe in Google Calendar or Apple Calendar so deadlines show up alongside your normal schedule. Watch for rolling versus fixed dates.

How the Calendar section works

The Calendar section lives inside the Apply tab. It collects the deadlines for the grants you are tracking in your Pipeline, so instead of checking each scheme's website you have every relevant date in one view. As you add grants to your pipeline, their deadlines appear here automatically.

Subscribe to the ICS feed

The Calendar section gives you an ICS feed, the standard format calendars use to subscribe to events. Subscribing means your grant deadlines appear in the calendar you already check every day. To set it up:

  1. Open the Calendar section in the Apply tab and copy the ICS feed link.
  2. Google Calendar: on a computer, go to Other calendars, choose From URL, paste the ICS link, and add it. It appears as a separate calendar you can toggle on and off.
  3. Apple Calendar: choose File, then New Calendar Subscription, paste the ICS link, and set how often it refreshes.

Because it is a subscription, your calendar updates when your deadlines change. Add a new grant to your pipeline and its deadline flows through to your calendar on the next refresh.

Reminders

Once the feed is in your own calendar, use that calendar's reminders to alert you ahead of each deadline. Setting an alert a week or two before a date gives you room to finish documents and answers rather than scrambling on the last day. You can also keep an eye on upcoming dates directly in the Calendar section, and the Alerts tab handles broader notifications about grants and activity.

Rolling versus fixed deadlines

Not every grant works the same way, and the difference changes how you plan:

Tip For rolling grants, do not let the lack of a hard date push them to the bottom of your list. Funds run down as the cycle goes on, so an early application to a rolling scheme often beats a last-minute one.

Stop missing dates

Put every grant deadline in your calendar.
